Back-office automation

Back-office automation for flooring contractors.

Bearwall is an AI back-office operator for builder, multifamily, commercial and retail flooring contractors. It works inside the system you already run, starting with RFMS, and every write is checked before and read back after.

Where the work gets stuck.

In a flooring company, the status of a job lives in one system and the work lives in others: the schedule, the builder’s or property manager’s portal, the supplier’s invoice, the bank. Someone carries each item across by hand. When that person is out or buried, the gaps open:

  • Done, not billed.
  • Paid, not posted.
  • Invoiced, not keyed.
  • Charged back, not tracked.

None of these is hard. There are just a great many of them every day, each one a few screens, and each miss sits quietly until it costs money.

What Bearwall takes on.

Bearwall runs on its own Windows computer and login at your company. These functions are set up for you on your own system, and each runs read-only beside your team for 30 days before it writes:

  • Billing completed work, and booking it.
  • Cash posting against the right invoices.
  • Supplier invoices, matched to the PO and the receipt.
  • Supplier payment records and schedule dates.
  • An A/R aging, back-charge tracking and a morning board your team can ask questions.

Each exception your team settles is written into a rule it follows from then on, so it learns as it works. Purchasing runs, receiving, retainage and installer pay audit are scoped in the diagnosis.

What it is not.

It is not a new system to move to, and not a chat box. It does not send money, send email or take over anyone’s desktop, and it is never given your passwords or MFA codes. One Stop command shuts it down, and revoking its key ends its writes.

Questions

What is an AI back office for a flooring contractor?

Software that does the repeat back-office keying a person does today, inside the same system, under its own login. Bearwall plans each write from your data, checks it against a written rule, makes it, and reads it back. Anything that fails goes to your team with the reason.

Do we have to change systems?

No. Bearwall works inside the system you already run, starting with RFMS. On another flooring system, or accounting software like QuickBooks or Sage, the diagnosis maps how your team does the work first, and the quote says what Bearwall will run: by API, by export or on screen.

Will it lower our overhead?

That is what it is for: fewer errors on the work it takes on, and no new hire as you grow on the same desk work. Your people keep the judgment and approve the exceptions. Bearwall makes no promise about headcount; the diagnosis shows where the hours go today.
