Retail deposits and balances
Retail flooring: deposits in, balances collected.
For retail flooring stores: how a homeowner job pays, where the money slips between the deposit and the final balance, and how to keep every job tied out.
How a retail job pays.
A deposit at the sale. Material ordered against it. A measure that changes the square footage, and with it the total. A balance due at or after install, paid by check, card or financing, sometimes in two pieces. Each payment has to land on the right order, and the order has to be marked complete before the balance can bill. When any of those steps waits on a busy person, the job looks open, paid or short when it is none of those.
Where it slips.
- A deposit taken but not applied to the order, so the job shows the full balance due.
- A finished job never marked complete, so the balance never bills.
- Card and financing payouts that arrive net of fees but are posted at the gross amount.
- A measure change that never reached the final invoice.
- Refunds and credits that are not tied back to the job they belong to.
What Bearwall sets up.
On your own system, set up for you and checked in a read-only month first:
- Billing completed jobs on their completed dates.
- Cash posting, with each deposit and payment applied to its order.
- An A/R aging that shows every open homeowner balance and its age.
Bearwall does not contact your customers and never sends money. Collections mail drafts are scoped in the diagnosis, and a person at your store sends them. Every write is checked before and read back after.
Questions
Does Bearwall contact homeowners?
No. Bearwall does not send email or call customers. It shows which balances are open and why. Drafts for collections mail are scoped in the diagnosis, and a person at your store reviews and sends them.
Can it post card and financing payments?
Cash posting is set up for you on your own system. Card and financing payouts often arrive net of fees, so the rule for recording the fee is written with your team during setup and checked in the read-only month before it writes.
We are one store. Is this for us?
If someone spends hours each week tying out deposits, balances and payments, the diagnosis will show it. It is free and read-only on your exports, and we aim to return one page within 48 hours.
