RFMS automation
RFMS automation, with every write checked.
Bearwall runs the repeat back-office work in RFMS for flooring contractors: through the RFMS API where it reaches, on screen where it stops. It starts read-only, and nothing writes until you turn a function on.
What a flooring back office does in RFMS by hand.
Most RFMS shops run the same loop every day. Someone checks which jobs finished, finds the PO or EPO, bills the order, books it, posts the builder’s check against the right invoices, then keys the supplier invoices and matches each one to its PO and receipt. Each step is a few screens. At volume it is a full desk, and the misses sit quietly: completed work never billed, cash on account never applied, an invoice priced above the PO. To automate RFMS billing and the rest of that loop safely, each step needs a written rule and a read-back.
What Bearwall sets up in RFMS.
- Billing completed orders on their completed dates, with undo shown in the demo.
- Booking and cash posting, and supplier invoices matched to their PO and receipt.
- Supplier payment records and schedule dates.
- An A/R aging and a morning board your team can ask in plain English.
Each is set up for you on your own RFMS during setup and checked in the read-only month. Purchasing runs, receiving and EDI with suppliers are scoped in the diagnosis.
How each write is checked.
Before a write, the record is re-read live and must pass a written rule. After it, the result is read back: billing through the RFMS API, other writes as set up in your read-only month. A write that fails either check is held for a person you name, with the reason. Bearwall runs on its own Windows computer and its own RFMS seat under your subscription, so every change traces to it, and revoking its key stops its writes.
API first, screen where it stops.
Where the RFMS API reaches, Bearwall uses it. Where it stops, Bearwall drives the RFMS screens under its own login, calibrated to that seat during setup. It never takes over a person’s desktop. If an RFMS update changes a screen or a field, it is set to stop and tell you rather than guess.
Questions
Can RFMS billing be automated?
The repeat part, yes. Bearwall is set up to bill completed orders on their completed dates, on screen where the API stops, then read each one back through the API. An order that fails a rule, such as a missing PO or EPO, is held with the reason. It runs read-only beside your team for 30 days before it writes.
What access does it need in RFMS?
Its own seat and API key under your RFMS subscription, and its own Windows computer. Your people enter the logins and keys; Bearwall is never given your passwords. The exact seat permissions are confirmed during the diagnosis, and you can revoke the key at any time.
We don’t use RFMS. Does this still apply?
The method does. RFMS is where Bearwall starts. On another flooring system, or accounting software like QuickBooks or Sage, the diagnosis maps how your team does the work, and the quote says what Bearwall will run: by API, by export or on screen.
