Multifamily billing
Multifamily flooring billing, unit by unit.
For flooring contractors who work turn orders and renovations for property managers: how the work bills, where it slips, and what Bearwall sets up.
How multifamily work bills.
Turn orders arrive from property managers by email, phone or portal, one unit at a time, often with a not-to-exceed price and a move-in date that will not move. Each unit needs its own invoice carrying the property and unit number, sometimes a PO from the property manager’s system, and sometimes a monthly invoice for the whole property that has to tie to every unit inside it. Renovation programs, such as carpet to LVT across a whole property, add a unit schedule and a running balance.
Where it slips.
- A unit finished in a rush and never invoiced.
- An invoice rejected by the PMC portal for a missing PO or the wrong unit format, and nobody sees the rejection.
- A payment posted to the wrong unit, so one shows paid and another shows past due.
- A property invoice that does not tie to the units inside it.
- A W-9 or certificate of insurance expired in the portal, quietly holding every payment.
What Bearwall sets up.
On your own system, set up for you and checked in a read-only month first:
- Billing completed units on their completed dates.
- Reads from property-manager portals, with your company’s sign-in.
- Cash posting by unit and property.
- An A/R aging your team can read by property.
Your unit and invoice formats are written into rules it follows, so it learns each property manager’s way as it works. Collections mail drafts are scoped in the diagnosis. Every write is checked before and read back after.
Questions
What is a turn order?
Work a property manager orders to make a vacant unit ready for the next resident: new carpet or LVT, repairs or cleaning, usually on a short deadline. Each turn order is its own job, with its own unit, price and invoice.
Can Bearwall work in property-manager portals?
It can be set up to read them, with your company’s sign-in and approval. A person at your company signs in; your passwords and MFA codes stay with you. Each portal’s terms are checked with you first, and it never sends money.
Is Bearwall only for multifamily?
No. It is made for builder, multifamily, commercial and retail flooring contractors. The work differs by segment; the check is the same. The diagnosis shows which of your work it takes on first.
